EpicMigrations COVID-19 Policy

EpicMigrations prioritizes the health and safety of its participants, staff, and the communities that host our events. By adopting a proactive and informative approach against the COVID-19 pandemic, we continuously update our policies in line with current health recommendations and government guidelines.

Core Principles

  • Health and Safety: All of our events are organized to the highest standards to protect the health and safety of participants and communities.
  • Flexibility: We have developed flexible policies and procedures to respond quickly and effectively to changes in pandemic conditions.
  • Communication: We consistently inform our participants and stakeholders about health measures, travel restrictions, and event updates.

Health and Safety Measures:

  1. Vaccination and Testing Requirements:
    • All participants must be fully vaccinated against COVID-19. Vaccination cards or digital certificates will be checked upon entry.
    • Participants who are not fully vaccinated must provide a negative COVID-19 test result taken within 72 hours prior to the event.
  2. Mask and Hygiene Rules:
    • Wearing masks remains mandatory in indoor areas and crowded events.
    • Hand sanitizer stations are placed throughout event venues, and frequent handwashing is encouraged.
  3. Social Distancing:
    • Event arrangements are designed to ensure safe social distancing between participants.
    • Group sizes are limited in accordance with social distancing regulations.
  4. Ventilation and Cleaning:
    • All indoor areas are regularly ventilated to ensure effective air circulation.
    • Shared spaces, surfaces, and equipment are disinfected frequently.

Flexibility and Cancellations

  • Depending on changes in pandemic conditions, event formats may be adjusted flexibly (virtual, hybrid, or in-person).
  • For events that must be canceled due to a health crisis, participants are offered either a full refund or the option to transfer their registration to a future event.

Travel and Accommodation

  • For international participants, compliance with the COVID-19 travel guidelines of the host country is required.
  • Our accommodation providers are obliged to meet high hygiene and safety standards.

Information and Communication

  • Prior to events, participants are informed via email and mobile applications about health and safety measures, program changes, and other important updates.
  • During events, regular updates regarding health and safety are provided, and an emergency notification system is in place.

At EpicMigrations, despite the challenges brought by the pandemic, we work diligently to ensure that our events continue safely and enjoyably. Protecting the health of our participants and communities is our top priority. These policies also serve as a guideline for events held in 2024 under the impact of COVID-19.
